| Job Title: Administrative Assistant II, Student Support, Graduate Business Programs

| Position Responsibilities: - Saint Mary’s College invites applications for a part time, twenty-five (25) hours each week, twelve (12) months, Administrative Assistant II, Student Support position in Graduate Business Programs to provide administrative and program support to faculty, students and directors across all Graduate Business programs. The work is collegial in a highly collaborative and culturally diverse campus environment. Effectively communicate with a diverse community of faculty, staff, and students. The successful candidate will be expected to contribute to the mission of the College, which is informed, animated and expressed through its Catholic, Lasallian and Liberal Arts traditions.
- Reporting to the Director of Graduate Business Operations, the Administrative Assistant II provides prompt and professional service to Program Directors, faculty and students. Coordinate a wide variety of short and long term projects; assist with making improvements to office management through technology enhancements, assessing and recommending effective and efficient practices. Coordinate and assume primary responsibilities for assigned special projects. Collect data and prepare reports on a monthly and quarterly basis
- Assist in the planning and management of open houses, orientations, graduation, and other events, including those for all academic programs and marketing/recruitment. Attend and assist program directors at events, including weekends and evenings.
- Prepare and track student correspondence, forms, and materials for student registration and graduation; assess and make recommendations for improvements to support services. Prepare and maintain current student lists by cohort and/or program. Distribute class rosters. Perform all aspects of general administrative duties, including document preparation and storage, and maintenance of office equipment. Answer phones and greet visitors and guests.

| Qualifications: - Minimum of one (1) year of college/university education, Bachelor’s degree desirable and two (2) to four (4) years experience in administrative and office support; experience in higher education or in similar settings highly desirable; strong interpersonal, verbal and written skills; ability to handle complex phone inquiries and interact in a calm and supportive manner with culturally diverse groups of faculty and students.
- Demonstrated proficiency using Windows operating systems, Microsoft Office (Word, Excel, and PowerPoint), e-mail and internet usage; experience working with data bases. Ability to handle multiple tasks and assignments, remain calm under pressure, establish priorities, and work in an organized manner with emphasis on detail and accuracy; ability to work independently, seek consultation when necessary, and remain part of a team; high level of reliability, creativity, and commitment to maintain confidentiality; ability to work cooperatively and effectively with all members of a culturally diverse campus community; ability to cultivate and maintain partnerships with diverse individuals, offices and programs; understanding of and commitment to further the College's mission.
